Salesforce Lightning Sync Basics

Why Use Lightning Sync?

As a Salesforce user or owner, I am sure you have dreamed of the utopia that Salesforce can provide.  This includes all of your data in one place and seamless integrations into a myriad of different applications and systems.  Sales teams’ productivity is one the focus areas of Salesforce because salespeople are always looking for ways to be more productive.  Having information at their fingers is crucial.  Lightning Sync is a way to share your contacts and calendar events between your Outlook or Google systems.  Why would you not want that in your Salesforce system?  This allows Salesforce to introduce you, the customer, to Lightning Sync!

What is Lightning Sync?

Lightning sync is an integration product that will allow you to integrate Salesforce with Microsoft Exchange* OR Google G Suite**.   Organizations gain great benefits from this integration. First, email and CRM now sync and share data. Second, they have a full view of an organizations customer within one system without having to look in multiple places to find the full view.

*Office 365 Enterprise with exchange online or Exchange Server 2016 or Exchange 2013 w/Service Pack 1

**Google G Suite by Google Cloud Basic, Business or Enterprise Editions

What Syncs?

Contacts sync with their email addresses.  When they both exist, then they are matched. If there is not a match then a new contact is created.  If there are multiple contacts with the same email addresses, then it starts looking at the first name and last name.  Validation of Company name happens if it exists.  Lightning sync sometimes cannot decide the right way to proceed and in this scenario it creates an unresolved items page in your personal settings, which allows you to choose the proper resolution.

Events sync by looking at the subject, date, start and end times.  If no events match, a new event is created and then they are matched to your external calendar.  When the system does not feel that an event should be automatically created, an unresolved item is added in the personal settings of the user in which the event resides to allow for proper resolution.

Get To It!

Lightning sync is a great way to ensure contacts and events are shared between the two most utilized systems in your organization.  The benefits to the organization are more than just saving keystrokes but in the end, everyone wins! Users to not have to get involved with the implementation of Salesforce Lightning Sync because this is completed by company admins.  Ultimately the product saves users time and allows for organizations to have a fuller view of their accounts by importing data from Microsoft Outlook or Gmail.
