Our latest blog post will discuss an underutilized feature of Salesforce Lightning, Einstein Activity Capture and why you should be using it to boost productivity.
What exactly is Einstein Activity Capture?
It’s a great feature of Salesforce than enables users to not only import emails and calendar entries from Outlook or Gmail, but it relates that data to existing records in Salesforce!
Why would you use this?
Dual entry of activities or emails is gone. Searching Outlook or Gmail for that last message to a contact is not necessarily. Countless folders in your Inbox for each customer is a thing of the past. All the data is in Salesforce and is related via email addresses!
How do I start using it?
Salesforce includes 100 users per org for free, so you can test or pilot the functionality at no cost to you. Once your admin has configured your org and assigned you the proper permission set, simply go into your settings:
Scroll down to Email and expand:
You should see the Einstein Activity Capture menu item. Underneath this item will be 2 sub-items:
- Excluded addresses
Click Settings and select “New Account”:
Select your email provider from the list:
In this post we will select Office365:
Select a cached Profile or connect with a new one, you may or may not be challenged for credentials if you are already logged in.
After a successful connection you can determine the level of sharing you want to configure. The default set up by your admin will be the initial selection, but you can change the access if you want to give more or less access to the emails connected to the objects in Salesforce:
Once this has been completed the sync will start, but you will be able to adjust the settings from the main page:
After a few minutes, you can select an account, contact or opportunity and see the emails and calendar entries that were found in your email:
No more swivel chair! No more digging in your Inbox! All important (in my case Office365) email data is now in Salesforce. Going about your day in your favorite email client is now replicated to your Salesforce data.
The Proof is in the Pudding
Additionally, since it’s a Lightning only feature, you’ll already be using the highly customizable Lightning interface and through it’s component based architecture, you’ll be able to tweak the look and feel to your liking!
Einstein Activity Capture has been a great tool for our team to enable multiple members see communication with customers, even if they can’t see the contents. It’s the perfect feature to have enabled on contacts and accounts, especially in an environment where there may be high turnover or more than one person needing to know the communication cadence with an account or contact.
